The Challenge: Inefficient, Manual HR Processes

A growing company was struggling with paper-based HR processes, outdated payroll management, and no structured onboarding. Their HR team was buried in administrative work, slowing down operations.

Key HR Challenges:

  • No structured onboarding process for new hires

  • Payroll was manual and time-consuming

  • HR processes were scattered across paper files and spreadsheets

With rapid company growth, leadership knew they needed HR process automation to save time and improve efficiency.

Our HR processes were completely outdated—everything was on paper or scattered across scanned files, making it nearly impossible to stay organized. We had no formal onboarding process for new hires or contractors, and payroll was a time-consuming headache. We knew we needed a change, but we weren’t sure where to start. -VP of Operations

The Solution: Implementing HR Process Automation

To bring clarity to their HR operations, I conducted a deep dive into their current state. This involved:

  • Mapping existing workflows to identify inefficiencies and pain points.

  • Interviewing staff to understand their needs, frustrations, and must-have features for an improved system.

  • Defining the ideal future state, ensuring any new solution aligned with both operational needs and company culture.

With this information, I led a structured evaluation of multiple HRIS + payroll platforms. After careful analysis, I provided the CEO and VP of Operations with a clear recommendation for a unified system that would not only simplify their processes but also reduce costs and administrative overhead.

The Execution & Results

Once the new platform was selected, I worked closely with both the vendor and internal teams to ensure a seamless implementation. This included project managing the rollout to stay on time, within budget, and aligned with the company’s operational goals.

To ensure long-term success and adoption, I also created a comprehensive user manual detailing the new HR and payroll workflows. This documentation served as a reference guide for employees, reducing the learning curve and enabling a smooth transition.

The impact was immediate and measurable:

  • 75% reduction in manual HR operations, freeing up valuable time and resources.

  • A structured onboarding process was introduced, ensuring all new hires and contractors were properly integrated from day one.

  • Payroll was brought in-house, thanks to the new system’s simplicity, eliminating reliance on an outdated third-party provider.

  • Clear documentation and training materials empowered employees to confidently navigate the new system, ensuring consistent usage and minimizing disruptions.

By the end of the project, the company had a modern, scalable HR infrastructure that improved efficiency, saved money, and set them up for long-term success.
